Designing Smarter Forms: Simplifying Data Collection

A multinational pharmaceutical corporation partnered with EY to deliver a transformational PEGA process automation solution. This new solution would handle the process of conducting and documenting safety surveillance research for the company’s products. As the lead designer, I was responsible for improving the design of two internal forms that captured critical documentation and regulatory updates.

Discovery

I was brought onto the team as the lead designer to help redesign a complex business form within a larger enterprise product. To get up to speed quickly, I participated in discovery sessions where I walked through the existing product and user flows to understand form and data requirements. These sessions allowed me to gain a strong understanding of the users, pain points, and the business process the form supported. The new form would be built in PEGA, a low-code platform used for workflow automation and business process management, so it was critical to align early with technical constraints and platform capabilities. 

During this phase, I collaborated closely with business analysts, tech leads, and stakeholders to clarify requirements, ensure alignment on business goals, and gather input that would inform the design direction. I also built a strong working relationship with an associate-level designer, providing mentorship and design direction throughout the process.

Design

With a clear understanding of user needs and technical requirements, I worked efficiently under tight deadlines to produce wireframes, interactive prototypes, and a comprehensive UI style guide. My design work focused on creating a user-friendly, intuitive experience for a complex multi-step form, ensuring it collected necessary information efficiently while minimizing redundancy and user frustration, while adhering to PEGA technical constraints. 

I applied thoughtful visual hierarchy using headings, labels, and grouped sections to help users easily navigate the form. Interactive elements such as tooltips and hover states were incorporated to offer contextual guidance without overwhelming the user. I also made deliberate choices around color, typography, and visual components to both enhance usability and align with the company’s existing visual guidelines within the PEGA ecosystem.

Throughout the process, I regularly met with the tech lead to assess the technical feasibility of the design and adjusted based on evolving requirements and constraints. I also created thorough design documentation, including annotated wireframes and a style guide, to support efficient handoff and implementation by developers and business analysts. 

Results

The redesign resulted in a significantly improved user experience. By streamlining the interface, prioritizing critical data, and reducing redundancy, the form became much easier to use while still meeting all business and technical requirements. My detailed documentation and cross-functional collaboration ensured a smooth transition from design to development, even within a fast-paced delivery timeline.

The clarity and quality of my designs, along with my ability to communicate them effectively, helped build strong trust with the client. I successfully demonstrated the value I brought not only in execution but also in strategic collaboration and client engagement. While concluding the project, my team and I saw an opportunity for extended work with another form, pitched a proposal, and won the additional work. 

Additional Work

For the additional work, I contributed to the proposal and roadmap for an expanded project scope and conducted a UX audit of the existing form. I advocated for and led user research, facilitating five focus groups across the U.S. and Europe with three key user types: team leaders, strategists, and data admins. I synthesized findings into four actionable categories—people, process, technology, and training—and created a UX guideline framework to support the form redesign and future iterations. I presented insights in a stakeholder workshop that generated strong buy-in, then partnered with stakeholders to define requirements for the new form. Despite a tight timeline and evolving requirements, I stayed agile, mentored a junior designer, and maintained close collaboration with stakeholders. Deliverables included an expert design review, annotated wireframes, design principles, and a working prototype aligned with user and business needs.
